Who we are
Shoply: Item Scan & Analytics is a Shopify app that checks a store's product catalog for problems such as missing costs, prices below cost, short descriptions and missing images, and helps fix them. It is provided by Shoply Apps ("we", "us"), founded by Ignas Pilybas and Romas Gabdrafikas in Lithuania. Shoply Apps is being registered as a Lithuanian company; until then, the two founders are responsible for your data. We will add the company's registered details here once it is registered.
Questions, requests or complaints about your data: info@shoplyapps.com. We reply within 30 days.
What data we process
We only read what the app needs to check and fix your catalog. We never sell data or use it for advertising.
- Store details: store address (myshopify.com), store name, currency and time zone, from Shopify when you install.
- Access token: the key Shopify gives the app to read and change products, from Shopify when you install.
- Catalog data: product titles, descriptions, SEO text, prices, costs, SKUs, barcodes, inventory and image links, read from your store during each scan.
- Sales totals: units sold and revenue per product variant over the last 60 days, worked out from your store's orders during each scan.
- Scan results: issues found, health score, charts and a compact copy of the latest catalog, created by the app.
- Change history: what the app changed, the value before and after, when, and which staff member did it, created by the app.
- Staff who use the app: Shopify staff ID, first and last name, email address, language, whether they are the account owner or a collaborator, which pages and actions they may use, their display choices in the app (such as which sections are open or which tips they hid), and their last visit, from Shopify when a staff member opens the app.
- Settings: rules, scan schedule, alert and permission choices, set by you.
- Support messages: your reply-to email address and your message, when you use Contact support.
- Tips: amount, date and Shopify's charge ID, if you choose to leave a tip through Shopify billing.
- Excel files: catalog and change history exports you request, created by the app.
Why we use it
We use this data only to run Shoply: Item Scan & Analytics for your store:
- scan your catalog and show the issues, health score and analytics;
- save the fixes you ask for, record them in Change history and let you undo them;
- send the alerts and weekly summaries you turn on;
- control which staff members can see pages and make changes;
- answer your support messages;
- process tips you choose to give, through Shopify billing.
Under the EU General Data Protection Regulation (GDPR), our legal basis is the contract with you when you install the app (Article 6(1)(b)), and our legitimate interest in keeping the app secure and working (Article 6(1)(f)). For data about your store's customers, we act as your processor and follow your instructions, as Shopify's terms for apps require.
Order and customer data
Shoply: Item Scan & Analytics reads your orders only to work out how many units of each product sold and the revenue they brought in. It does not request or store your customers' names, email addresses, phone numbers or postal addresses. Only the totals per product variant are saved.
Because we hold no customer personal data, a customer data request or deletion request that Shopify sends us has nothing to return or delete. We still answer every such request Shopify forwards.
Who we share it with
We share data only with the services that run the app, and only what each one needs:
- Shopify: hosts your store, app sign-in and billing. Handles everything the app reads or writes in your store, and tips.
- Render: runs the app and its database in Frankfurt, Germany. Handles all the data listed above.
- GoDaddy: hosts our mailbox info@shoplyapps.com, which sends alerts, weekly summaries and support replies. Handles recipient email addresses and the email content.
We do not use advertising, analytics or tracking tools. We may disclose data if the law requires it.
Where data is stored
The app and its database run on Render's servers in Frankfurt, Germany, inside the European Union. Emails (alerts, weekly summaries and support replies) are sent through GoDaddy's mail servers in the United States, under the safeguards in GoDaddy's data processing terms (the EU–US Data Privacy Framework, with the EU Standard Contractual Clauses as a fallback). Data you see in Shopify stays with Shopify under Shopify's privacy policy.
How long we keep it
When you uninstall Shoply: Item Scan & Analytics, we delete all of your store's data straight away: scan results, change history, settings, staff, alerts, support messages, tip records, exports and access tokens. When Shopify sends its store deletion request 48 hours later, we check that nothing is left.
While the app is installed:
- Scan results: the 10 most recent scans.
- Excel export files: 24 hours.
- Support messages: 12 months.
- Staff who use the app: until 12 months after their last visit.
- Change history: 365 days, and at most 200,000 changes per store.
- Database backups: a few days, then overwritten.
Security
All traffic to the app is encrypted (HTTPS). Every page and request checks Shopify's sign-in, and every message from Shopify is verified before the app acts on it. Each store can only ever see its own data. Secrets such as access keys are kept in the hosting provider's protected settings, never in the app's code. If a breach affects your data, we will tell you and the authorities within 72 hours, as the GDPR requires.
Your rights
You can ask us to show you, correct, export or delete the personal data we hold about you, to limit how we use it, or to object to its use. Email info@shoplyapps.com and we will reply within 30 days. Uninstalling the app deletes your store's data at once.
If you think we have handled your data wrongly, you can complain to Lithuania's State Data Protection Inspectorate (Valstybinė duomenų apsaugos inspekcija) or to the data protection authority in your own country.
Changes to this policy
We will post any change on this page with a new date. If a change affects how we use your data, we will tell you in the app or by email before it applies.
